Short answer: At Webwavers, every project follows the same process, from the no-obligation first call to launch. You get a dedicated project manager and your own Slack channel, and nothing moves forward without your approval. Payment is usually a 50% deposit, and for larger project sums it is split into several installments. If the moodboards and the first design sections don't convince you, you get the deposit back.

On this page we answer the questions we are asked most often before a project. Where something depends on the project, we say so openly and don't quote numbers we can't back up. You can find the process itself in detail on the page Our Process.

Process and approvals

What does a project with Webwavers look like?

It starts with a no-obligation first call. Onboarding and briefing follow, then a strategy session and the design phase with three moodboards as concept directions. You pick one direction from the moodboards, and then the first three homepage sections are created in Figma. Only after that do we design the complete homepage and all subpages, build everything in Webflow, Framer or WordPress and go live. At launch you get a training session. The phases are called strategy, concept, design, development and launch. We decide together with you, and neutrally, which system fits best.

Who is my point of contact and how does communication work?

You get a dedicated project manager as your point of contact. We also set up your own Slack channel for your project, where you can ask questions directly. Progress runs through clear phases, so you can follow where the project stands. If your team prefers another channel, bring it up in the first call. Then we'll see what we can do.

Does Webwavers keep working without my approval?

No. There are feedback loops in every phase, and we don't continue without your approval. That applies to the moodboard direction just as much as to the first design sections, the complete homepage and the subpages. For you, that means you can step in at any phase, before the next step builds on something you haven't yet seen or signed off. We clarify in the first call how the feedback rounds work in your case.

How long does a project take?

That can't be answered across the board. A website with a few pages is something different from a relaunch with many subpages, multilingual content or a customer portal. Duration also depends on how quickly copy, images and approvals come together on your side. That's why we don't quote a number of weeks here. In the first call we clarify scope and framework, and then we discuss which timeline is realistic for your project.

Payment and costs

How does payment work in a project?

That depends on the project scope. As a rule, you pay 50% as a deposit at the start. For higher project sums, we split the payment into several installments. From around €40,000 to €50,000, that means 3, 4, 5 or more installments depending on the project. We usually clarify in the first call how the split works for your project.

Is a 50% deposit fair?

A deposit is common in the industry, because agencies reserve time and capacity for your project before the start. What matters most for you is what you are protecting with your money. With us, the deposit is covered by the satisfaction guarantee up to the approval of the first three design sections. If the moodboards and first sections don't convince you, you get it back. With larger projects you don't pay everything at once anyway, but in installments.

Are there fixed prices, or do we bill by the hour?

That depends on how clearly you can describe what should be there at the end. With a clearly defined scope, a fixed budget fits. With open questions, billing by effort with an estimate and a cap is often fairer. A mixed form often makes sense too. We explain when which model makes sense in the article Fixed Price or Hourly Rate. We usually name concrete sums only after the first call, because they depend on scope.

What do hosting and licenses cost?

Hosting and licenses usually sit with the client, so that everything stays in your hands. That way you control access, contracts and costs. If you want Webwavers to take this over, a small percentage surcharge for the takeover is added. How high it is depends on the environment and the maintenance effort. Depending on whether the site runs on Webflow, WordPress, TYPO3 or a headless CMS, different items come up. We clarify in the first call which ones apply to you, before you commission anything.

Guarantee and exit

What is the satisfaction guarantee?

If you are not convinced after the moodboards and the first design sections, we refund the deposit in full. The guarantee applies up to the approval of the first three sections. So far we have had to honor it 0 times across more than 140 projects. That is not proof that every project runs smoothly, but it is a sign that the design direction is properly aligned before the big effort begins. That is exactly what the early phase with the three moodboards is for.

How fair are the exit terms before design approval?

If you are not convinced by the time the first three design sections are approved, you can leave and get the deposit back. So you carry no risk for the deposit before design approval. We clarify in the first call how an exit after approval is handled.

Support after launch

Can I maintain content myself after launch?

Yes. At launch there is a personal training session, so your team can adjust copy, images and content on its own. You don't depend on us for every little thing. We also stay available after launch. If you would rather hand off maintenance, you can add ongoing support.

What does support after launch include?

Support is included in the Care, Growth and Scale packages. It covers updates and security, monitoring and backups, small changes within a quota, support, a quarterly check and documentation. Access and accounts stay with you. As a first step, in the first week we check access, run a technical check and make a backup. After that there is monthly maintenance, monitoring and a status report, and every quarter a check on technology, performance, accessibility and legal matters. All details are on the page Website Maintenance and Support.

How transparent are contract term and quotas for the support?

We set the change quota individually, and the response time depends on the package. Contract term and notice period are stated in the respective quote, so you see them in black and white before you sign. There is no blanket contract term for everyone, because it depends on the package and the scope. With any agency, make sure that quota, response time and notice period are in the quote before you sign. We answer questions on this in the first call.

Special cases

Does Webwavers also build customer portals and web apps?

Yes, that is possible. We build complete customer portals and web apps together with Vertion, the partner agency in the Webwavers group. Vertion takes on security concepts, among other things. More on the page Vertion. Scope, payment plan and timeline are especially individual in such projects and are clarified in the first call.

How to proceed from here

Most questions about price, duration and contract term can only be answered once we know your project. The first call is no-obligation. You can bring up anything that was left open on this page, for example your preferred payment plan, the question of the right system or support after launch. It's best to bring what you already have: existing website, logo, ideas, deadlines and the question of who approves on your side. The clearer the picture, the more reliable everything we can tell you about scope, payment and timeline. And if it turns out in the end that another system or a smaller solution fits you better, we'll tell you that too.
